This guide applies to records documenting individuals leaving a country to settle elsewhere. These records may include emigration registers, permits, and related documentation.

What Are Emigration Records and How Do You Recognize Them?

Emigration Records are documents created by government authorities to record the departure of individuals from a country. Indicators include references to emigration offices, exit permits, nationality, and destination details.

Elements Sometimes Found in Emigration Records

• Name of the emigrant
• Date and place of departure
• Nationality or country of origin
• Permit or authorization details
• Destination country
• Official stamps or seals

Natural Group

Each separate register, folder, or bound volume of emigration records should be captured as a separate digital folder.

Descriptive Metadata

• Date: Enter the date or range when the records were created.
• Locality: Enter the city, port, or district associated with the emigration process.
• Creator: Enter the name of the emigration authority or government office that created the records.
• Volume: Enter the volume or collection designation used by the archive or custodian.
• Title: In the language of the records, enter the title designated by the archive. Otherwise, enter a descriptive title based on the content.
• Custodian Reference ID: If the archive has applied a reference ID to each volume or folder, enter the ID in the format relevant to the archive. Enter a single hyphen (-) to indicate if no such ID exists.

Important Note

Ensure that these records pertain to permanent departure. Temporary travel or visitor records should not be classified under this type.
