Driver Records

Scope

This guide applies to records related to a person's legal privilege to operate a motor vehicle. These records typically document the issuance, status, and conditions of driving privileges. Use this record type when the record does not clearly fall under the child types Driver's Licenses or Driver Information Cards.

What Are Driver Records and How Do You Recognize Them?

Driver Records generally include documents issued by licensing authorities or related entities that confirm an individual's eligibility to operate motor vehicles. Indicators include references to driver identification numbers, license issuance or renewal dates, restrictions, endorsements, and official seals or signatures.

Elements Sometimes Found in Driver Records

• Full name of driver
• Driver's license number or identifier
• Date of issuance and expiration
• Address and contact details
• Restrictions or endorsements
• Photograph of driver
• Official seals or stamps
• Signatures of issuing authority
• Remarks or annotations

Natural Group

Each separate license record or driver information card should be captured as a separate digital folder. Group related renewal or update documents with the original record when possible.

Descriptive Metadata

Date: Enter the date or range when the driver record was created or updated.

Locality: Enter the jurisdiction or issuing authority's location.

Creator: Enter the name of the licensing authority or office that created the record.

Volume: Enter the volume or file designation used by the archive or custodian.

Title: In the language of the records, enter the title designated by the archive. Otherwise, enter the title as it appears on the record.

Custodian Reference ID: If the archive has applied a reference ID to each volume, enter the ID in the format relevant to the archive. Enter a single hyphen (-) to indicate if no such ID exists.
