Capturing Images: Single Page Capture Mode
For single pages, place each page on the copyboard, and capture them 1 at a time. You can also use this mode to capture 2 pages in 1 image, such as with a register or census book, which have information shared across 2 pages. To capture images using single page capture mode, do the following:
Step 1: Remove the pages from the binder, folder, or envelope, and make sure to keep the pages in order.
Step 2: Select a template. By creating a template for the largest page in the folder and selecting Autocrop, images are captured with a small border around each image.
Step 3: If the documents have page numbers, click Show Page Number. If not, use Show Image Number.
Step 4: Place a document on the copyboard. Use the black photo tape lines as placement guides.
Note: You can also view grid lines on top of the image to help align the document. On the image viewer toolbar, click the View Grid on Top of Image icon.
For the first image, capture the physical folder in which the records were found, (empty of documents), the folder cover, or the archival title page. If the folder’s descriptive information is not located on a document that can be captured, for example on a box, copy the information onto a 3 x 5 card, and capture it as the first image.
Step 5: Capture each additional record, keeping the pages in the same order you found them. Use 1 of the following to capture an image.
- Touch pad or touch switch (recommended because keyboard and X-Keys tend to wear out when used repetitively)
- X-Key capture button
- Template assigned to an X-Key
- F2, enter key, or spacebar on keyboard
- Mouse (not recommended because it slows down the capture process)
Step 6: Use the insert, retake, or delete X-Keys to fix any problems.
- Insert captures both a left and right page.
- Retake captures both the left and right pages and replaces and deletes the old image.
- Delete marks either the left or right page for deletion. When one is selected for deletion, the other is also marked for deletion.
Step 7: After you have captured the documents, evaluate the images. Make sure there are no hands or shadows, that they are in focus, and that they meet all other quality standards. If you identify issues, flag them, and return to the capture screen to fix them.
Step 8: Once the capture is complete and the folder is closed, return the pages to their container, and get the next set of documents to capture.
