An attachment is a document that is somehow attached—whether glued, stapled, or taped—and associated with a base record.

When you capture an attachment, its thumbnail image is automatically inserted in the thumbnail panel after the thumbnail image of the base record. The thumbnail image includes with it a paper clip icon to act as an attachment symbol, includes a glued or covered information image quality tag, and, if you are using page numbers, includes a subnumber.

Note: In preferences, you can give attachments a subnumber, designating either numbers, (such as 1.1), or letters, (such as 2b), as the numbering scheme.

Capturing Lightly Attached Attachments

Use the following process for records that are not fully attached. For example, if the attachment is glued by one corner onto the base record, it is considered partially attached. Capture the base record and then attachments 1 at a time by following these steps:

Step 1: Without causing a crease, fold the attachment back.

Step 2: Capture the main document with the attachment folded back. Capture as much of the original document and attachment as possible.

Note: The glued or covered information tag is automatically added to all attachment thumbnail images.

Step 3: Allow the attachment to fall back freely upon the main document to its original position.

Step 4: Use Ctrl+L or Ctrl+R to capture the attached document or documents. For books, use the double crop template to capture both sides of the book first. Then use Ctrl+L for left-page attachments and Ctrl+R to capture right-side attachments. Ctrl+L and Ctrl+R may be programmed in X-Keys for ease of capturing attachments.

Note: Each attachment is considered a single document. Capture each attachment separately. Attached documents are indicated by a paperclip icon in the thumbnail image.

Step 5: If either the original or the attached image is not oriented correctly, manually rotate either image until the top of each record is shown at the top of the image (right reading).

Capturing Thoroughly Attached Documents

Use the following process for records that are fully attached. For example, if a record is taped or glued on all 4 sides so that it cannot be folded back, it is considered fully attached. Capture the base record and then attachments 1 at a time by following these steps:

 Step 1: Capture the base document and attachment. Capture as much of the original document and attachment as possible. Do not take a second image.

 Step 2: Mark it with the glued or covered information tag.

 Step 3: If capturing books with attachments, after highlighting each base thumbnail image, use Ctrl+L to capture attachments on the left pages and use Ctrl+R to capture attachments on the right pages.

 Step 4: If the document is not oriented correctly, manually rotate the image until the top of each record is shown at the top of the image (right reading).

 Step 5: You can also use the attachment check box below the Current and Next Image boxes in the capture image section of the left panel.

Note: Be aware that if you do not uncheck the attachment box after capturing the attachment, all documents thereafter will be captured as an attachment throughout the rest of the folder. To fix all images that are incorrectly captured as attachments, you must delete and recapture them.
