DCam Image Capture Training-Lesson 10: Rework and Resend

Introduction

Sometimes you need to recapture the same images over again, which is referred to as rework. Other times, you need to send the images when something goes wrong with their transport. In either case, you need to know how messaging works. In this lesson, you will learn about messages, rework, and resend.

Messages

Messages are sent for every hard drive sent in, whether it contains new folders or reworked folders. The messages provide feedback on the quality of the images received and create electronic messages which interact with your DCam computer. This allows old images to be deleted to free up space for continued capture, or to reopen folders that need to be reworked.

There are a few ways you receive this feedback:

  • Through email.
  • By downloading messages from the DCam site.
  • When you receive the weekly external hard drive.

When a folder is reviewed at headquarters, it is checked to ensure it meets image quality standards.
After images from the external HD are finished being reviewed, a message is sent by email that provides the quality results. In addition, the electronic messages file is updated and loaded to the next external hard drive the operator sends in.

If all of the images and folders in this example are acceptable, and the results given are excellent, there are no other messages. In this case, the next external hard drive carries a message that, once connected to the DCam computer, marks the folders completed and allows you to delete the folders to free up space for future captures.

This next email says the folders were accepted, but it has an additional comment that says you need to have the name of the church or Parish when you capture church records.

The additional comments always tell you things to look for. You should make sure to apply the comment’s suggestion going forward. In this instance, the HD carries the same message as those in the above example and, when connected to your computer, marks the folders complete and allows you to delete them. For future capture, make sure you remember to address the request made in the email.

Rework

This email is labeled as Rework and Resubmit, and it has additional comments. The summary tells how many folders were not accepted. In the Caution Folders section, it tells what type of problem it was (in this case LSI) and includes a comment about the problem. The comment in the example reminds the camera operator to use the thinnest representative line when doing the LSI portion of calibration.

The Rework and Resubmit Folders section describes which folders need to be reworked. This means that all the images in those folders need to be recaptured. If you do not understand the identified issue and how you can recapture to meet the quality standards, request assistance from your supervisor or manager. For rework, the messages on the HD, when connected to the DCam computer, mark the failed folders with rework status. This enables you to open and rework the folders and images in relation to the email results referred to earlier.

Resend

This last email is labeled Resend and Resubmit and shows that 3 of the 13 folders were not accepted. The Rework and Resubmit Folder section states that all 3 folders need to be resent. This likely means that there was a problem processing the images, which may indicate that the external hard drive was removed before a transfer was complete or that a similar problem occurred.

You do not have to wait for the HD to return in order to perform rework or remove folders. Since a messages file is the only way to communicate the status of a processed folder, a DCam site is available that allows you to download the message file to a thumb drive or another HD.

When the thumb drive or HD is connected to the DCam computer, DCam responds to the message as if it were coming from an HD you received from the processing center. For areas outside the United States, this may be a faster and more efficient way to receive the messages and overcome the mailing delays that can occur.

You need to review some different causes for rework and resend and determine which recapture method should be used. Remember, when rework is issued, it is your responsibility to review all images to determine if any other images within the folder, besides those identified by the quality team, may have the same quality issues. The quality team performs a random sampling of the images in each folder. This means other images which they did not see could have the same quality issues.

Recapture all of the images in a folder if the reason for the rework is related to LSI, blur, focus, or clipping. Problems related to these issues affect all of the images in the folder, and it is easier to recapture all of the images than to check every single image individually.

Identify what caused the quality issue, fix the problem, and recapture the entire folder. Remember the following:

  • Focus issues are related to the camera.
  • Blur is due to movement or other environmental issue.
  • Clipping is related to grayscale or lighting.
  • LSI is due to not adjusting the camera height to insure the thinnest representative lines can be captured

You only have to recapture individual images listed if you receive an error code listing skewed images, wrong orientation, a hand in the image, or extra material in the image. Ensure that you review all images within the folder and retake not only those identified by the quality team, but also any others that have the same problems.
After you rework a folder, you need to evaluate it again, and then close and load it onto the external hard drive.

While rework can take a bit of time and effort, resending a folder is quite simple. After messages are processed, and you navigate to the Manage Projects, listings, and Folders page, a resend folder is labeled Resend—Closed and is highlighted in yellow. This means that it is ready to load onto the external hard drive. Follow the basic steps of transferring folders to an external hard drive, after which the folder should be labeled as “Resend—On HD,” highlighted in green.
